The New booking screen in the Console takes a booking for a caller, a walk-in guest or an emailed request. Enter a destination, dates and guests, and the screen lists every property you can sell there with its price for the stay; open one to choose a room and complete the booking. Enter a property name instead to go straight to its rooms. Start from Bookings: beside New booking in its header, choose Accommodation, Flight or Package.
Flight appears when flight supply is available to you; the Flights guide covers search, the price check, passengers and ticketing. Package combines several products in one booking; see Packages. Tour appears at the top of the New booking screen, beside Stay and Flight, when your Organization has tours of its own; see Tours. The steps below cover Accommodation.
Orders, filters and guest scores work the same way in your online shop and on the partner API. See Destination search.
Before you begin
What you enter
| Field | Details |
|---|---|
| Where | A destination, such as a province, city, district or area, or a property name. Suggestions appear as you type. |
| Dates | Check-in and check-out. |
| Guests | Up to 20 adults per room, the age of each child and any extra rooms, in one control. |
| Currency | Optional, under Advanced query parameters. Left empty, the search uses your organization's primary currency. |
What you get
| Item | Details |
|---|---|
| A priced list | One row per available property, priced for the whole stay, lowest price first. |
| A header with counts | The place and its type, how many properties are available, how many have no availability, and your active filters: Antalya · Province · 78 available · 1 without availability. |
| Orders and filters | The orders and filters described in Destination search, each option with its count, plus a supply source filter. |
You do not need to know the property first. When a caller asks for Antalya, 14 to 16 October, two adults, type the destination and let the list do the comparison.
Search a destination
-
Choose where
Type in Where. Places come first, each labelled with its type (country, province, city, district, neighbourhood, tourism area), so Antalya · Province and Antalya · City are easy to tell apart. Properties follow, including the ones a provider has opened to you, which carry a marker, and then hotels your connected suppliers offer. Choose a place to list its properties, or a property to open its rooms directly. Choosing a supplier's hotel searches it for your dates and guests and opens its offers.
-
Set the dates and guests
Pick the stay, then set adults (up to 20 per room), each child's age and extra rooms in Guests. Enter the real ages: a property's guest age policy decides on them, and a property that does not accept a child of that age is not offered for the party. See Guest age policy. Choose Search.
-
Sort and narrow the list
The list starts with the lowest price. Switch to Total price, high to low, Stars, high to low, Stars, low to high or Guest score, highest first. Narrow it by district, supply source, property type, stars (with Unrated as its own option), guest score, price for the stay, meal plan or free cancellation. Every option shows its count; an option with no properties stays visible but cannot be chosen. Active filters appear above the list, and each one can be removed on its own.
-
Open a property's rooms
Choose See rooms on a row. The room selection opens with the same dates and guests. A strip above it returns to the list with its order, filters and position, without a new search, and steps to the previous or next property on the list.
-
Complete the booking
The best offer appears first and covers the whole party, possibly across several rooms. Below it, the room list shows every room and rate plan option for each requested room, priced for that room's guests and cheapest first. Choose the best offer, or choose room options and set a quantity up to the available quantity shown, for example two Double Rooms, breakfast included, for four adults. An offer split across several rooms names the guests of each room, for example 2 adults in one and 1 adult, 1 child (6) in the other, so you can tell the guest who sleeps where. Different rate plans can share the same rooms, so the combined selection is checked again before the booking is created. Fill in the guest details and finalize the selected rooms together as one booking.
Under the guest details, review Invoice details before confirming. Choose the booking contact, a corporate buyer or a person or company entered for this booking. See Choose who is invoiced.
Choose who is invoiced
Invoice details identifies the buyer for your accounting program. The booking contact and the traveller can be different people; for a company trip, the buyer can also be the employer.
| Choice | What you enter |
|---|---|
| Booking contact | Nothing extra. The contact is the buyer on this direct booking. |
| Corporate buyer | Select a company by name, review its billing details and accounting code, or choose New corporate buyer to add a reusable card. These actions require permission to view or manage the cards. |
| Person | Enter the individual's details for this booking only. |
| Company | Enter the company's details for this booking only, without creating a reusable card. Correct any rejected field before confirming. |
For example, choose North Star Engineering Ltd. for an employee's stay at Hotel Sunrise. Its name and accounting code accompany the sale record sent to your accounting program. See Billing details and accounting codes.
Choosing the invoice buyer does not collect payment. A prepaid rate still requires prepayment when a company is selected. Your accounting program issues the invoice; selecting the buyer does not issue it.
Send the accommodation voucher
A confirmation voucher tells the guest that the booking is confirmed. Open the booking and check its status before sending it. For a connected supplier's hotel, wait for the supplier's confirmation. A pending request with a booking reference is still awaiting an answer.
The voucher shows the meal plan in the document's language where available. For a connected supplier's stay, a board that matches one of your meal plans is shown by that meal plan's name alone, for example Bed and breakfast; the supplier's own description appears only for a board that matches none. Check the guests, dates, meal plan and cancellation terms before sending.
Change the dates or guests of a stay
A confirmed stay that the guest pays at the property, with nothing paid yet, can move to new dates or change each room's adults and children's ages, in the same rooms and rate plans. Open the booking and choose Change stay. Enter the new dates and guests and choose Get the new price: the screen shows the current total, the new total and the difference. Choose Confirm the change, and the hotel receives the change. A guest at Hotel Sunrise moves 12 to 14 May to 19 to 21 May, and the total goes from 214 EUR to 236 EUR. Nothing is charged or refunded, because the guest pays at the property.
Change stay is not offered for a prepaid booking, a package, a sub-agency's sale or a connected supplier's stay.
What a row shows
- Photo, name and stars, and the guest score with its number of reviews when the property has one.
- District, city and property type.
- The offer shown: room, meal plan, cancellation terms, and payment and confirmation labels. It is the cheapest offer, or the cheapest one that matches your meal plan or cancellation filter.
- The total for the stay and the average per night.
Example: Hotel Sunrise · Konyaaltı, Antalya · Hotel · 9.2 / 10, 340 reviews · Deluxe Room, room only · Non-refundable · Pay at property · Instant confirmation · 2 nights, 2 adults: 214 EUR, 107 EUR per night.
Products a provider has opened to you
When another organization adds you as a sub-agency (see Selling as a sub-agency), its products appear on the same list as your own properties:
- The headline is the payable total, the amount you owe the provider for the stay, and the list sorts on it.
- A line marked as Console-only sits under the row, with the provider's name, the payable total, your own markup and the customer price: Marina Resort, 2 nights: Bodrum Travel · payable 380 EUR · your markup 38 EUR · customer price 418 EUR.
- Amounts only. The line shows no percentage, and it is left out when the product has no customer price.
- The provider's price build-up stays private. Its source amount, commission, markup and floor price never appear on the list.
- Your account with the provider. When the provider keeps an account for you, the booking summary shows the amount still available on it, and a booking above it is refused. See Sub-agency account.
Use the supply source filter to show only your own properties, or only the products of the providers you choose. It lists each provider by name, with a count.
The markup line stays in the Console. A provider's products are sold from the Console only and never appear in your online shop. The provider never sees your markup.
Book a connected supplier's hotel
Connected suppliers can add hotels to the destination list as their answers arrive. An External supply label identifies these offers. Supplier names, net prices and margins are shown only to users allowed to view supplier connections.
-
Choose one offer for the party
The hotel's offers appear as room cards with their meal plans, payment and cancellation terms. Select one offer covering the requested rooms. An offer marked This room cannot be booked online right now is shown for comparison only and is listed below the offers you can book, even when it is cheaper. For example, an offer for two double rooms covers all four adults; its total is for both rooms and the whole stay. External offers are booked as offered, without combining room quantities into a basket.
-
Enter each room's guests
Enter the contact and the guests in each room. Supply the lead guest's actual nationality when required. Changing it can trigger a new price check. If 400 EUR becomes 420 EUR, review and accept the new total before confirming. If the offer is unavailable for that nationality, search the hotel again for that nationality or choose another offer.
-
Confirm the purchase
Confirmation sends the rooms to the supplier using your organization's agreement. This action does not charge the guest. The booking records the guest's payment obligation separately from the purchase from the supplier.
-
Follow the existing booking
Open the booking to read its status and latest supplier answer. If confirmation is still pending, follow that booking rather than sending another order. The confirmation button stays unavailable after a pending or refused result. A refusal lets you choose another offer.
A search result is not a reserved room. An expired offer needs a new search. A pending supplier answer needs a status check on the existing booking.
Special cases on the list
| Situation | What the screen does | What you can do |
|---|---|---|
| Some properties have no availability | Collects them under a count at the end of the list. | Open the count to see which ones; try other dates. |
| A row could not be priced | A row that timed out offers a retry for that row alone. Other failures show as not priced. | Retry the row, or carry on with the rest of the list. |
| Nothing is available for the dates | Says so, and offers to change the dates or to search the wider place. | Change the dates, or search the wider place: for Kemer, that is Antalya. |
| You have nothing to sell in the place | Says so in its own words, because this is about what you may sell, not about availability. | Choose another destination. For a provider's products, the provider decides which destinations are open to you. |
| A property does not accept the selected children's ages | Does not price the property. When you open it, shows its own empty state instead of rooms, because the cause is the property's age rule, not its availability. | Check each child's age in Guests, or choose another property. A property's youngest accepted age is on its Guest Age Policy card. |
| A child's age has no price for the dates | Says that the guests fit a room at the property, but one child's age has no price for these dates. | Choose Open Adult and child prices, then add a price for that child's age band or check that its dates cover the stay. |
| The place has more than 1,000 properties available for the dates | Asks for a narrower place and states the limit. | Choose a province, a city or a district. |
| The list is longer than one page | Offers Show more at the end. | Choose it to add the next properties; the rows already on screen stay. |
Find an existing booking
The Bookings list names each booking's product, such as accommodation, flight, tour, transfer or package, in its Type column; a tour or transfer row also names the tour and its option or the route booked. Beside the total, each row shows the payment state: Paid, Due with the open balance, Refund due or Refunded with the amount. Use the search box on Bookings to search by booking number, guest name or email. For a flight, it also finds the full airline booking reference (PNR) or ticket number. If you have permission to view supplier details, the same box also searches supplier references, including a flight's supplier order number.
Enter the full booking number or reference. For a name or email, enter at least three characters to find a matching part. If no booking matches, the page says so and offers to clear the filters; it does not mean your organization has no bookings.
The Supply filter separates managed supply from external supply. With external supply selected, users with supplier visibility can also choose a supplier. Clear the filters if a known booking is missing from the list.
For a supplier reservation awaiting an answer, find and open the existing booking to follow its status. Searching the booking list does not send a new reservation to the supplier.
