Price entry

A rate plan stores one nightly price for each number of adults a room sells to, and price entry decides how you type those prices. For example, Hotel Sunrise types 200 EUR for its Double Room, and the Console fills the prices for one and three adults from the ratios you set, so you check them before you save.

The stored price of each adult count is the price a guest pays. It is a total for the whole room per night: 200 EUR for two adults is 200 EUR in total, not 200 EUR per person. Whether that amount is a supplier net rate or a commissionable selling price is a separate commercial setting.

Choose a price entry

Open the rate plan and choose Price entry. The choice changes how you type prices on the Rates screen and in bulk operations. It never changes a price that is already saved.

Price entry What you type What is saved
Room price and ratios The room price, the price for the room's included occupancy. That price, and a price for every other adult count that has a ratio.
Per person The price per person at the included occupancy. The room price (your price times the included occupancy) and a price for every other adult count that has a ratio. Ratios read as multiples of the per person price, for example ×1.5, on the grid's adult rows and in the ratio drawer.
Per occupancy A price for each adult count. The prices you type. You can also fill the counts you do not type from the ratios.

The room's included occupancy is the number of adults its room price covers. Set it on the room, separately from its capacity. A room that holds four adults can have a room price covering two. If you leave the field empty, the room price covers two adults; for a room that holds only one adult, it covers one. Changing it moves no saved price. The next price you type is written to the new count.

Hotel Sunrise's Double Room has an included occupancy of 2 and ratios of 75% for one adult and 125% for three adults. On Room price and ratios you type 200 EUR; on Per person you type 100 EUR. Either way the plan saves 150 EUR for one adult, 200 EUR for two and 250 EUR for three. On Per occupancy you type the three prices yourself, or type 200 EUR for two adults and let the ratios fill the other two.

A property can set the price entry that new rate plans start with on its Settings page. Without a choice, a new plan starts on Per occupancy. Changing the default never changes existing plans.

Changing a plan's price entry does not change its saved prices. You can switch Hotel Sunrise's plan from Per occupancy to Room price and ratios at any time. Nothing is rewritten, and there is no conversion step.

Ratios fill counts when you type a price

A ratio is the share of the room price that an adult count pays. It helps you type a price: the Console uses it to fill the other adult counts from the price you type. It does not affect a sale, and saving or changing a ratio changes no saved price.

Ratios are set in three places, and the narrowest one that covers the night applies: the room, then the rate plan, then the property.

  • The property default applies to every plan. Set it under Inventory & pricing → Adult and child prices, in the Price by number of adults section.
  • A rate plan can have its own ratios. Open the ratio drawer from the Occupancy ratios icon on a plan's row in the grid, or the Adult and child prices drawer of the Rates screen, and choose where to save: this room in every plan it is sold in, this room in this plan only, or the whole property.
  • One room of a plan can have its own ratio, as an exception. See Exceptions for one room.

A ratio can be a percentage of the room price (75%), an amount added to or taken from it (minus 40 EUR), or a fixed price for that count. It can be limited to a date range; an empty start or end date reads as No start date or No end date.

On the Rates screen, a price typed at the included occupancy shows the other counts as unsaved values, each tagged with its ratio and where the ratio comes from, for example 75% · plan. You can change any of them. Save writes the typed price and the filled prices together, and Discard drops them. A count without a ratio gets no price. The grid shows how it sells instead: at the next higher count's price, with the extra adult charge, or not at all.

A channel manager's prices are stored as sent. For a channel-managed plan the Console applies no ratio: the grid says so and the prices stay read-only. A single room price sent by the channel manager is stored for every adult count the room takes.

Apply ratios to existing prices

Saved prices change only when you ask. After you change a ratio, the saved prices for the other adult counts stay as they were until you apply the ratios to them.

  1. Save the ratios

Edit the ratio in the grid's ratio drawer or on the Adult and child prices page, and save. The screen confirms that saved prices did not change.

  2. Open Apply to existing prices

On the Rates screen choose Apply to existing prices, in the toolbar or in the ratio drawer after a save. The scope is the rooms, rate plans and nights currently in view, with the longer stay prices of those nights, such as seven nights or more.

  3. Review and apply

The preview lists every price that would be written, with the price before, the price after and the ratio behind it. It also lists what is left out and why: a channel-managed plan, a plan that follows its parent plan, a room not linked to the plan, another currency, or a night with no price at the included occupancy. Choose Apply to write exactly the prices you reviewed.

The price at the included occupancy stays for each night; the other counts are written again from the current ratios. The prices are written together: if the write fails, none of them changes. If someone changes one of these prices after you opened the preview, nothing is written: the prices are read again, the preview shows the new ones and you apply again.

When an adult count has no price

One rule applies to every plan, whichever price entry it uses.

Situation Result
The adult count has a saved price That price.
The count has no price, and a higher count does The price of the nearest higher count that has one. With two adults at 200 EUR and four at 300 EUR, three adults pay 300 EUR.
The count is above the highest count with a price The highest priced count plus the extra adult charge for each adult above it. With three adults at 250 EUR and a charge of 20% of the room price, four adults pay 290 EUR.
The count is above the highest priced count and there is no extra adult charge The party is not offered.

Capacity still applies. A price never allows five adults into a room whose maximum is four. The extra adult charge is set in the same place as the ratios, in the Each extra adult row. It is an amount or a percentage of the room price, and it is added when the party is sold, never saved into a price.

When a plan has parties that are not sold, its form lists them with the reason and a shortcut: Add a price, Add a ratio and apply it to existing prices or Add an extra adult charge.

Prices by length of stay

A price can apply only to stays of a given length: Hotel Sunrise charges 180 EUR a night for two adults when the stay is seven nights or more, and 200 EUR otherwise. A supplier contract that says seven nights or more pay a lower weekday price is stored this way.

On the Rates screen, a count with such prices shows a badge such as 1 stay price. Choose Show the prices by length of stay to see them, and Add price by length of stay to add one. Enter the first night count of the range, the last night count (empty means no limit) and the price. The range reads 7+ nights or 3 to 6 nights. The same fill from ratios is offered. In the bulk panel, the Length of stay field offers Every stay, N nights or more and N to M nights.

A stay is priced night by night. For each night and each adult count, the narrowest range that holds the stay's length applies.

Stay Price of each night
7 nights 180 EUR, from the 7 nights or more price
6 nights 200 EUR, the nightly price

The choice is made per adult count, so a price for two adults does not change the price of three. Ranges of one count either sit inside one another or do not meet: Console refuses 1 to 5 nights next to 3 to 7 nights. To see what a night pays in a stay of a given length, set Stay length (nights) in the filter bar of the Rates screen. Prices are edited at one night, so the grid asks you to set the stay length back to 1 before you edit.

A price for 7 nights or more does not sell shorter stays. If a count has only that price, a 6 night stay of that party is not sold. The plan form names it and offers Add a price.

Price children without charging twice

Enter each child's real age. The guest age policy determines infants, free child places and children who count as adults before the price is calculated.

For children needing a separate charge, set a fixed amount or a percentage. You can limit the rule to a child position and the number of accompanying adults: for example, with two adults, the first child stays free and the second pays 50% of the per-person share. The plan counts children oldest first, youngest first or separately within each age band. Oldest first makes a nine-year-old the first child and a four-year-old the second. Infants do not take a numbered position.

Check the percentage basis. With a room price of 200 EUR covering two adults, 50% of the room price is 100 EUR. 50% of the per-person share is 50 EUR, because the share is 100 EUR. On a Per person plan the percentage basis starts on the per-person share. The basis is the price of the included occupancy. If that count has no saved price, it is the price those adults are sold at, the nearest higher count's price. With only a three-adult price of 160 EUR, two adults are sold at 160 EUR, so a child at 25% of the room price pays 40 EUR. A discount for using the room alone does not change that price.

A stored price can include children in its total. The following examples count children after free child places have been used. Infants are excluded from that count and follow their own age-band rule:

  • A price for the complete party: two adults and one child stored at 240 EUR pay that nightly total. The child's separate rule is not added again. Any applicable infant charge is added separately.
  • Children as occupants: when this plan setting is enabled, a child adds one to the guest count. Two adults and one child can use the three-guest price. Children covered by that price are not charged again; any remaining children need their rules.

An absent child price does not mean free. Set a rule for each child or infant needing a separate charge, including zero for a free stay. The room’s rule takes priority, followed by the plan’s rule and then the property’s. If a room has rules for that age band and date, missing cases are not filled from the plan’s rules. For example, when the room has a rule only for the first child, add the second child’s rule there too.

Where prices come from

  • You type them on the Rates screen, in bulk operations or through the AI Operator, and the plan's price entry decides what a typed price means. The cell history records the price you typed and the ratio behind each filled count.
  • A channel manager sends them. The prices are stored as sent, the plan stays read-only, and corrections are made at the supplying channel manager.
  • A contract spreadsheet carries them. A supplier price written per person in double becomes a Per person plan with a price for each adult count, and its weekday and length of stay terms become prices by weekday and by length of stay. See Contracts.
